A bad review isn't the disaster it feels like in the moment - a calm, professional response is often what actually convinces future customers, more than the negative review itself.
Respond Calmly, Never Defensively
Acknowledge the specific issue raised without arguing or getting defensive in public - even if the review feels unfair, a defensive tone reads worse to onlookers than the original complaint.
Offer to Resolve It Offline
"Please contact us at [phone/email] so we can make this right" shows genuine intent to fix the problem without turning the public thread into a back-and-forth argument.
Be Specific, Not Generic
A templated "we're sorry you had a bad experience" response reads as insincere. Reference the actual issue mentioned to show you actually read and understood the complaint.
Never Ask to Remove a Review (Unless It Violates Policy)
Genuine negative reviews generally can't and shouldn't be removed - only reviews violating Google's policies (spam, fake, off-topic) qualify for flagging and removal.
